Gift Card Journal

Introduction

A Gift Card Journal is a record-keeping tool that tracks all transactions related to gift cards. This includes the issuance, redemption, and balance adjustments of gift cards. The journal helps ensure accurate accounting and management of gift card activities within the POS.

1. Key components of a Gift Card Journal

Some of the key components of a Gift Card Journal are listed below:

Issuance Entries: 

Records when a gift card is sold or issued, typically noting the amount loaded onto the card.

Redemption Entries: 

Tracks when a gift card is used for purchases, reducing the card's balance accordingly.

Balance Adjustments: 

Logs any changes to the gift card balance, such as refunds or manual adjustments.

Liability Management: 

Reflects the outstanding balance of gift cards as a liability until they are redeemed. 

Navigate to: Home > Retail. Then under the Gift Cards section click on the Gift Card Journal shortcut. This will open the Gift Card Journal screen. 

2. Gift Card Journal Filters

Gift Card Journal Filters are tools that allow users to sort and view specific entries within the gift card journal based on various criteria. These filters help in managing and analyzing gift card transactions more efficiently by narrowing down the data to the most relevant entries. 

Some of the common filters are listed below: 

Date Range: 

Viewing transactions within a specific time period.

Transaction Type: 

Filtering by issuance, redemption, balance adjustments, or expirations.

Gift Card Serial Number: 

Focusing on transactions related to a specific gift card.

Customer Information: 

Filtering by customer details if the gift cards are linked to customer profiles.

Store Location: 

Viewing transactions from specific store locations, useful for businesses with multiple outlets.

Using these filters, businesses can quickly access detailed information about gift card activities, aiding in financial reconciliation, customer service, and inventory management. 

3. Gift Card Journal Columns

Gift Card Journal Columns refer to the specific data fields that are displayed in the gift card journal. These columns provide detailed information about each gift card transaction, helping businesses track and manage their gift card activities effectively. 

Some of the common columns in a Gift Card Journal are listed below: 

Transaction Date: 

The date when the gift card transaction occurred.

Gift Card Number: 

The unique identifier for each gift card.

Transaction Type: 

The type of transaction, such as issuance, redemption, or balance adjustment.

Amount: 

The value associated with the transaction, such as the amount loaded onto the card or redeemed.

Remaining Balance: 

The balance left on the gift card after the transaction.

Customer Information: 

Details about the customer, if the gift card is linked to a customer profile.

Store Location: 

The location where the transaction took place, useful for businesses with multiple outlets.

Employee ID: 

The identifier for the employee who processed the transaction.

These columns help ensure that all relevant information is captured and easily accessible for reporting, auditing, and customer service purposes.
